How can I attach files to my maintenance orders in SAP?

When creating a maintenance order, it is often necessary to add supporting files to the order, to insure precise maintenance. These files include operational instructions, drawings of the equipment/asset, or information on the materials necessary to complete the order. Depending on the application in which these files were created, most file attachments are in various formats including Microsoft, CAD, images and more.  

These files can be attached or linked to the maintenance order through various tabs within the an IW32 or IW38 transaction, represented by the yellow tabs below. 


If your company is utilizing SAP DMS (Document Management System) to manage company documents, it is possible to attach DIRs (Document Information Records) directly to the highlighted tabs above. In this case, the original file might be stored within KPRO, ArchiveLink or a File share. However, if you are not using SAP DMS, you can still add files directly to the order through the Services for Objects tab. This tab is represented by a paper clip, located at the top left corner of the graphic above. You can add a URL to this tab, where the original can be stored in Documentum or an Intranet system.


Can I print my maintenance orders, with all the files attached?

It is possible to automatically distribute these file attachments, along with the shop papers or work instructions with an add-on solution. With the click of a button, the SAP business form (PM work order) and all attached files are collected into a packet, converted to PDF, stamped and watermarked with Meta data pulled from SAP, and delivered seamlessly to printers, email addresses, mobile devices and more.

SEAL Systems, Inc provides this server based solution, which integrates into the print programs. When the print function is initiated, all the files are collect onto an outside server. To avoid tying up your work station, all workflow processes (converting, stamping, watermarking, etc) is completed in a separate work station.

January 2014 Newsletter

From our staff to yours, Happy New Year, and a prosperous 2014.
2013 ended with great success for SEAL Systems, Inc. We've exceeded our goals by developing new partnerships with a number of great companies.

December 2013 - Happy Holidays!

Upcoming events for 2013:
February 24th - SAP-Centric EAM Conference held in Austin, TX.  We are celebrating our 10 year anniversary exhibiting at this event with some great prizes and giveaways! In addition, we will highlight our solutions for SAP EAM which encompasses the automatic collection of SAP forms and their corresponding document attachments into a complete packet for distribution or publishing.


April 1st - The Logistics & SCM, PLM, Manufacturing, and Procurement 2014 conference held in Las Vegas, NV,  hosted by SAP Insider. 

May 3rd - Siemens PLM Connection Americas 2014, held in Orlando, FL. At this show, we will present our suite of solutions that encompass document conversion, distribution and publishing for Teamcenter Unified and other PLM Systems. In addition, we can provide information and demo our new solution for transmittal distribution to manage and trace the exchange of information and documents between business partners.

November News

New Feature:
By popular demand, we have developed an extension to our process printing SAP based application.  Additional functionality will enable preselection of files associated within an order before the job is sent for distribution. This will provide an opportunity to manipulate the document list before releasing the order, with the ability to manually select relevant documents directly in the SAP transaction, save and use that selection later when distribution is executed.
 
How does it work?
SEAL will provide a "Select Documents" function on the transaction screen, and if called, the application will retrieve all documents related to the current object as it already does. With these documents, it creates and displays a list of the found items. This list is linked to the order. Finally when it is released or printed through standard methods, it packages an output job with the preselected attachments and SAP forms.  This output job contains all documents relevant for printing according to the configuration.


The job is displayed using SEAL DDC, the standard tool to create, change and display SEAL Systems output jobs. In the DDC the document list can be modified, either by manually selecting/deselecting entries or by removing or adding entries.

Once saved, this output job is the reference when the SAP Object is printed.  The elements from this job are used instead of automatically retrieving the documents to be printed again. In addition, these files can be displayed during the print process so a final check and modifications are possible.

Last month’s newsletter highlighted the capabilities of PLOSSYS netdome, the dynamic output management server for collecting documents, forms and corresponding information to distribute to a printer, email, fax or mobile device as a complete PDF packet. This month, SEAL Systems is announcing an enhancement to PLOSSYS netdome, with 2 new mobile applications.

PLOSSYS Pickup provides a printer independent, print job collection solution. The user goes to a printer, identifies themselves by scanning a barcode or activating the RFID then they receive a list of their print jobs queued for that printer, finally printing what is needed. PLOSSYS Pickup requires no extra hardware or software installed on each printer as other available solutions may require.

PLOSSYS DocPrint provides output files to all PLOSSYS connected printers by using your smartphone or tablet. The files can be stored within a file structure or printed directly from the mobile application to any printer within PLOSSYS.
The most exciting part of these solutions is that they can be used in combination. Users can submit their prints with the smart phone (PLOSSYS DocPrint) and then collect them from the nearest printer via PLOSSYS PickUp.

Dynamic Document Output Management Server


It is often the case that our customers are not fully aware of the capabilities of our software, which they have installed. Rather than coming directly to SEAL Systems for document collection and distribution, file format conversions, and other similar options, they spend valuable time researching and testing new solutions, when that capability might be right under their nose.

PLOSSYS Netdome Output Server

PLOSSYS Netdome is a powerful output management server. It has the capabilities to integrate into several systems including SAP, Siemens PLM and Windows applications to automate a collection and distribution process for files and documents. More specifically, the PLOSSYS output server has been used for SAP Spool Printing, distributing SAP PM, PP, MM and SD forms and document attachments, distributing and transmitting Teamcenter structures with all associated data sets, and more.

This standard solution typically identifies forms and all corresponding file attachments, converts them to a standard PDF format and distributes to a desired destination including printers, email, fax, and mobile device. In addition, the output server can collect Meta data from the system and apply a dynamic stamp or watermark, a table of contents and cover page directly to the output.


Something that might also interest current customer is the PLOSSYS Netdome output server is the engine behind an enterprise-wide solution, distributing files and information for an entire company from a single location.

This concept is referred to as a Corporate Output Management (COM), which encompasses all business functions to collect any file format and distribute anywhere within the enterprise.
