How can I attach files to my maintenance orders in SAP?

When creating a maintenance order, it is often necessary to add supporting files to the order, to insure precise maintenance. These files include operational instructions, drawings of the equipment/asset, or information on the materials necessary to complete the order. Depending on the application in which these files were created, most file attachments are in various formats including Microsoft, CAD, images and more.  

These files can be attached or linked to the maintenance order through various tabs within the an IW32 or IW38 transaction, represented by the yellow tabs below. 


If your company is utilizing SAP DMS (Document Management System) to manage company documents, it is possible to attach DIRs (Document Information Records) directly to the highlighted tabs above. In this case, the original file might be stored within KPRO, ArchiveLink or a File share. However, if you are not using SAP DMS, you can still add files directly to the order through the Services for Objects tab. This tab is represented by a paper clip, located at the top left corner of the graphic above. You can add a URL to this tab, where the original can be stored in Documentum or an Intranet system.


Can I print my maintenance orders, with all the files attached?

It is possible to automatically distribute these file attachments, along with the shop papers or work instructions with an add-on solution. With the click of a button, the SAP business form (PM work order) and all attached files are collected into a packet, converted to PDF, stamped and watermarked with Meta data pulled from SAP, and delivered seamlessly to printers, email addresses, mobile devices and more.

SEAL Systems, Inc provides this server based solution, which integrates into the print programs. When the print function is initiated, all the files are collect onto an outside server. To avoid tying up your work station, all workflow processes (converting, stamping, watermarking, etc) is completed in a separate work station.
